Parent Organization
Sarasota Crew is essentially run and supported by parent volunteer efforts. Parents organize events, support regatta logistics and much more. Sarasota Crew holds monthly Parent Meetings at the Osprey School House to give parents a chance to stay better informed, get more involved, ask questions, comment, meet each other and to provide support for a better environment for our kids.
This year our Parent Meetings will be held the first Monday of every month at 5:30, starting in November. Due to holidays, September's meeting will be held on Tuesday, September 5th and October's meeting will be held on Tuesday, October 3rd. The meetings are held at the Osprey School House and last approximately an hour to an hour and a half to coincide with the end of practice. All parents are encouraged to attend and get involved in one of our many committees. Listed below are the different committees and their respective Committee Chairs.

Volunteer Committee Descriptions
Adopt-A-Road - Responsible for executing regular clean-up of our road segment
Boat Man - Maintains our fleet of boats alongside the head coach
Clothing - Coordinates inventory and sales of club clothing
End of Year Banquet - Responsible for planning and preparation of annual banquet
Equipment - Responsible for oversight and ongoing maintenance of all club physical assets and determining future needs
Finance - Responsible for club finances
Fundraising - Responsible for coordinating the team fundraising events
Grants - Obtains additional funding through various grants and scholarships Consider and grant tuition and fee waivers in financial need situations
Hurricane Preparation - On call during hurricane warnings in order to secure our equipment
Motors & Launches - Coordinates the maintenance and repair of our motors and launches
Parking Lot - Coordinates and executes after-practice parking lot monitoring
Photography - Photo documentation of Team Events
Recruiting - Responsible for designing and executing needed rower recruiting efforts
Regatta Leaders - Managing the regatta chaperones
Regatta Food - Responsible for provision of on-site foot at regattas
Safety - Responsible for establishment and maintenance of a safe rowing environment
School Liaison - Provides overall relationship contacts and publicity with each area high school
Site Maintenance - assist with various site maintenance projects as needed throughout the year
Site Transition - Responsible for planning, budgeting, and coordinating the move to the new site
Slide Show - prepares the slide show for the end-of-the-year banquet using photos taken throughout the year
Special Events - Initiates, plans, and coordinates approved special events, i.e. holiday party, learn to row day, orientation and registration, boat christenings
Thank you - Responsible for sending individual thank you notes as needed
Trailer Sign - Solicit and coordinate the sale and application of trailer signs
Videographer - Responsible for capturing video throughout the year and production of the end of the year video
Website - Responsible for maintenance of Team website
Volunteer Committee Chair Responsibility
- Attend Parent Meetings and be prepared to give a 1-2 minute update to the parents as needed during the meeting.
- Oversee the functions of your committee.
- Enlist other parent volunteers.
- Communicate with the President of the Parent Organization so that efforts can be coordinated. They will communicate with the Administrative Director, the coaches, and the Board of Directors of Sarasota Crew.
- Sarasota Crew email is a great way for distribution of information. All emails should be sent to the Administrative Director for distribution.
- Any event that requires the coach's participation requires their approval prior to scheduling the event.
- Use the same process for take home flyers as you would use for email.
- Receive prior approval of any financial expenses from administration.
- Make sure that you thank your volunteers with written emails or thank you notes.
- Write a brief evaluation of your committee at year-end and forward the binder to the office for the next year committee chair.
